Managing Inventory
Keeping your inventory up to date helps ensure buyers can only purchase items that are available and ready to dispatch.
What is Inventory?
Inventory refers to the quantity of products you have available to sell through your store.
Maintaining accurate stock levels helps:
- Prevent overselling
- Improve buyer confidence
- Reduce cancellations and refunds
- Keep your store organised
- Viewing Your Inventory
To view your inventory:
- Sign in to your account.
- Open your seller dashboard.
- Choose the product you would like to manage by clicking edit.
You can update stock levels at any time.
Managing Single Product Inventory
If your listing is a Single Product, you'll manage one stock level for the entire listing.
Each sale automatically reduces the available quantity.
Once stock reaches zero, the item will no longer be available for purchase until additional stock is added.
Managing Inventory for Variations
If your listing uses Variations, each variation has its own stock level.
This is useful for products available in different sizes, colours, materials, or styles.
When a buyer purchases a specific variation, only that variation's stock is reduced.
For example, if a customer buys a Medium item, the Medium stock level decreases while the Small and Large quantities remain unchanged.
Updating Stock Levels
To increase or decrease available stock:
- Open the product from your dashboard.
- Locate the stock section.
- Enter the new quantity.
- Save your changes.
Stock updates will be reflected on your product listing immediately.
Out of Stock Products
When stock reaches zero:
- Buyers will no longer be able to purchase that item or variation.
- Existing orders will not be affected.
- The product listing will remain visible unless you choose to remove it.
To make the item available again, simply update the stock quantity and save your changes.
Made-to-Order and One-Off Items
For unique products such as original artwork, vintage items, or one-of-a-kind pieces, you may wish to keep the stock quantity set to 1.
Once purchased, the item will automatically become unavailable.
For made-to-order products, ensure you maintain enough stock to fulfil incoming orders within your stated processing time.
Inventory Best Practices
Review Stock Regularly
Check your stock levels frequently, especially if you also sell through other platforms or in person.
Update Stock After External Sales
If an item sells elsewhere, update your inventory as soon as possible to avoid overselling.
Keep Variation Stock Accurate
Stock is managed separately for each variation, so make sure each option reflects the quantity you actually have available.
Plan Ahead
If an item is selling quickly, consider preparing additional stock to avoid interruptions in availability.
Frequently Asked Questions
Simply update the stock quantity and save your changes. The item will become available for purchase again once stock is greater than zero.
Tip: If your product comes in multiple sizes, colours, or styles, always double-check the inventory for each variation before publishing your listing. Accurate stock levels help create a better experience for both buyers and sellers.
